FiberWay acts as a data controller for the purposes of the UK General Data Protection Regulation (“UK GDPR”).

2. What Data We Collect

We collect different categories of data depending on how you use the Platform.

A. Account & Identity Data

  • Name
  • Email address
  • Company or farm name
  • Location (region, country)
  • User role (Farmer, Brand, Spinner)

B. Farm & Production Data

  • Crop or fiber types
  • Farming practices
  • Environmental, social, or production indicators
  • Certification status (where applicable, without guaranteeing outcomes)
  • Land, farm, and ecosystem descriptions

This information may relate to Farms as agricultural systems and ecosystems, not only to fiber production.

C. Media & Storytelling Content

  • Photographs
  • Videos
  • Written stories
  • Interviews or recorded conversations

Such content is collected and used only with appropriate consent and according to visibility rules.

D. Communications & Interactions

  • Messages sent through the Platform
  • Emails related to onboarding, Platform use, or Services
  • Notes or records from on-the-ground visits
  • Calls or WhatsApp communications where relevant to Platform use or Services

3. How We Use Data

We use collected data to:

  • operate and manage the Platform
  • create and display Farm Profiles (subject to visibility settings and consent)
  • enable connections between Farmers, Brands, and Spinners
  • collect, structure, and present Farm Data and Indicators
  • generate aggregated or anonymised insights and reporting
  • provide Services and advisory support where applicable
  • improve, secure, and develop the Platform

We do not sell personal data.

4. Visibility & Sharing of Data

A. Profile Visibility

  • Farm Profiles may be visible to Brands and Spinners by default without identifying details (e.g. name or contact information) for free accounts.
  • Full Farm Profiles, including identifying details and deeper data, are accessible only to paid users, subject to Platform rules and consent.

B. Sharing with Buyers

  • Farm Data and Indicators may be shared directly with selected buyers who are working with a Farmer, including through sourcing or purchasing relationships.
  • Paid users do not automatically gain access to detailed impact data unless they are actively working with the Farmer.

C. Aggregated & Anonymised Data

  • FiberWay may use Farm Data and Indicators in aggregated or anonymised form for insights, reporting, research, or case studies.
  • Such data will not identify individual Farmers unless explicitly agreed.

5. Legal Basis for Processing (UK GDPR)

We process personal data on the following legal bases:

  • Consent – where you have explicitly agreed (e.g. profile visibility, storytelling content)
  • Contractual necessity – to provide access to and operate the Platform
  • Legitimate interests – to improve the Platform, ensure security, prevent misuse, and develop services

Where consent is required, you may withdraw it at any time.

6. Services & Additional Agreements

Where FiberWay provides Services (such as advisory support, data collection, or pilots), additional terms or agreements may apply.

This Privacy Policy continues to apply to any data processed through the Platform in connection with such Services.

7. Data Retention

  • Personal data is retained only as long as necessary for Platform operation, Services, or legal obligations.
  • When a User leaves the Platform:
    • Profiles are removed from visibility
    • Personal data may be deleted upon request
    • Certain data may be retained in anonymised form for reporting, case studies, or compliance purposes
  • Data may be retained where required by law or for legitimate business purposes.

8. Your Rights

Under UK GDPR, you have the right to:

  • access your personal data
  • request correction of inaccurate data
  • request deletion of your data
  • restrict or object to certain processing
  • withdraw consent at any time
  • request data portability

9. International Users

FiberWay works with Users globally. While local laws may apply, data processing is governed by UK GDPR standards.

Where data is transferred internationally, appropriate safeguards are applied.

10. Security

We take reasonable technical and organisational measures to protect data from unauthorised access, loss, or misuse.

However, no system is completely secure, and Users should take care when sharing information.

11. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect Platform changes or legal requirements.

Where appropriate, we will notify Users of material changes.
